PROFESSIONAL WORKING EXPERIENCE:
Duties:
- Finalize audit reports,
comments and present it as power point presentation to top
- Devising and
maintaining office systems, including data management and filing.
- Arranging all travel
and accommodation for Director and Staff.
- Screening telephone
calls, enquiries and requests, and handling them when appropriate.
- Organizing and
maintaining diaries, handling appointments, incoming emails, and posts.
- Attends, transcribes and distributes minutes, and
participate in staff meetings, executive committee meeting and department
meetings as needed.
- Key person between the
team work and Director.
- Dealing with staff recruitment/Payroll//deductions.
- Organizing meetings and
ensuring that manager is well-prepared for meetings.
- Track and follow up the
attendance of the team work, their absences (regular/ irregular), and send
legal warnings accordingly
- Manage the Media
Department in all Media activities for the Office projects which include
publications, ads, conferences, events, public speeches and press release.
- Identification of
events or conferences proposals, missions and messages to be delivered to
the audience or clients.
- Within the events propose
mission and budget allocated, prepare the logistics of the event and
assign the team working on the event.
- Follow up all logistics
execution such as air tickets, hotels, conference rooms, audio visual
required, invitations, event’s material, seating order, menu, all services,
transportations and handling any emergencies it might occurs.
- Coordinate and invite
directly the speakers such as ambassadors, public figures, or celebrities.
- Prepare in coordination
with the CEO the main Public Policy Advocacy events and its campaign to
change, support; criticize a certain public policy or government decision.
- Design and prepare the campaign logistics
and assign working team.
- Supervise the Company magazine art design, follow up with the printing and distributing, etc…
- Responsible of CEO meetings,
appointments, all travel arrangements, personal agenda,
- Provide
administration support for consultants & visitors. Perform various secretarial
tasks, such as prepare replies, memos, and correspondence related to commercial
operations (handle in and out mails).
- Prepare schedules and support services
for meetings and conferences, taking important minutes;
- Arrange appointments, contacts &
travel needs for Managers or other high officials.
- Maintains and updates
a comprehensive filling system and Maintain confidential records.
- Maintain accurate
office records of all attendance, absenteeism, annual/emergency/sick
leave.
- Process
applications for vehicle & driver’s license renewals.
- Arrange schedules
of activities for messengers and drivers.
- Take care of
customers in most effective manners.
- Be vigilant permanently
regarding safety and security.
- Perform work with
good communication skills to deal with diverse clientele.
- Evaluate situation and react accordingly in case of Emergency.
- Carry out the
designing and layout for the magazine by Ventura Desktop Publisher program
and to direct the magazine production.
